The short version
Announcio is software used by youth sports clubs to run their organization. Your club decides what information goes into it. We store that information, show it to the right people, and don't do anything else with it.
We do not sell your information. We do not advertise. We do not use your information to train machine learning models.
Announcio holds information about children — names, competition levels, allergies, sizes, and sometimes photographs. That information comes from your club and from you, never from children directly. Children do not have Announcio accounts and never interact with the service.
1. Who we are
Announcio is operated by Announcio LLC, an Ohio limited liability company.
A note on roles. Your club decides what information to collect and why. We store and process it on the club's behalf. If you're a parent and you want your information changed or removed, start with your club — they control the records. We'll help where we can.
2. What we collect
About athletes
Provided by the club, or by a parent updating their own child's profile:
- Name
- Competition level and division
- USAG or governing body membership number, if the club records it
- Apparel and warm-up sizes
- Allergies and medical notes, if the club or parent chooses to enter them
- A photograph, if the club or parent uploads one
- Volunteer participation and hours associated with the family
- Account balance and financial history — charges, payments, credits
About parents and guardians
- Name
- Email address
- Phone number, if provided
- Which athletes you are linked to
- Whether you hold administrative permissions in your club
- Volunteer sign-ups and confirmed attendance
- Fundraising contributions recorded by your club
- Orders placed through your club's store
Collected automatically
- Sign-in times and session information
- Basic technical information needed to serve the app
- Error reports when something breaks (see section 5)
What we never collect
- Payment card numbers. These go directly to Stripe. We never see or store them.
- Passwords. There aren't any — sign-in is by email link.
- Location data, advertising identifiers, or browsing activity outside Announcio.
3. Children's information
This section matters most, so it's stated plainly.
Children do not use Announcio. There are no accounts for athletes. A child cannot sign in, cannot create a profile, and never interacts with the service. All information about a child is entered by their club or by their own parent or guardian.
What we hold about a child is listed in section 2 — typically name, level, sizes, and sometimes allergies and a photograph.
How it's used. Only to operate the club's roster, calendar, volunteer records, and account balances. It is never used for advertising, never sold, never shared for any purpose other than running the club's program.
Who can see it. A child's information is visible to administrators of that child's club, and to the parents linked to that child. It is not visible to other families, other clubs, or the public.
Photographs. Where a club or parent uploads a photograph of a child, that photograph is stored in our systems and shown only to that club's administrators and the child's linked parents. A club must have appropriate permission before uploading a photograph of a child, and is responsible for obtaining it.
Parental rights. A parent or guardian may ask their club to review, correct, or delete information about their child at any time, and may ask the club to stop entering it. If a club cannot help, contact us at the address below and we will act on a verified request.
Clubs, please note: you are responsible for telling your families what you collect and for obtaining any consent your program requires. We give you the tools; the relationship with your families is yours.
4. How we use information
We use it only to:
- Operate the features your club uses — rosters, balances, calendars, announcements, volunteers, fundraising, the store
- Send transactional messages: sign-in links, invitations, order confirmations
- Process payments through Stripe
- Keep the service secure and working, including diagnosing errors
- Comply with law
We do not use it to advertise, to profile you, or for any purpose your club did not ask for.
5. Who we share it with
We share information only with service providers who help us run Announcio. Each holds it only to perform their function.

About error reports. When something goes wrong, we send a technical report so we can fix it. These reports are deliberately configured to exclude names, email addresses, and any information about children. They contain the club's name, whether the person was an administrator, and technical details about the failure.
Embedded content. Tutorial videos are hosted on YouTube and embedded in the app. Watching one may allow Google to set cookies under its own privacy policy.
We do not sell personal information, and we do not share it for advertising or cross-context behavioral advertising.
We may disclose information if required by law, to protect someone's safety, or in connection with a sale or transfer of the business — in which case we'd give notice first.
6. Where it's stored
All data is stored in the United States. We do not currently offer regional storage elsewhere.
7. How long we keep it

A club can delete an athlete, a family, or a record at any time. Financial records attached to an athlete are deliberately protected from accidental deletion — deleting an athlete with account history is blocked, so that a routine cleanup cannot erase a family's financial record.
8. Your choices
Parents and guardians can:
- View and update their own contact details in the app
- View and update their own child's allergies and sizes
- See their family's full account history
- Ask their club to correct or remove information
- Contact us directly if their club can't help
Clubs can:
- Export their roster and financial records at any time
- Delete records
- Request full deletion of their club's data
Requests to us. Email the address below. We'll verify the request and respond within 30 days. If you're a parent asking about a child's information, we may need to confirm your relationship to the child and may direct you to your club, since they control the record.
State privacy rights. Depending on where you live, you may have additional rights — access, correction, deletion, portability, and the right not to be discriminated against for exercising them. We honor these requests regardless of where you live. We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of in that respect.
9. Security
- All traffic is encrypted in transit
- Data is encrypted at rest by our infrastructure providers
- Access to each club's data is enforced at the database level, so one club cannot see another's records
- There are no passwords to steal — sign-in is by single-use email link
- Payment card details never touch our systems
- Access to production systems is limited to authorized personnel
No system is perfectly secure. If we become aware of a breach affecting your information, we will notify affected clubs and, where required, affected individuals and regulators, without unreasonable delay.
10. Changes
We may update this policy. For material changes we will notify club administrators by email at least 30 days in advance, and update the date at the top of this page.
